Frequently asked questions

Transactions and due diligence

Upload the files as they are. PropEase classifies every document by real estate type, renames it to your structure and naming convention, groups duplicates and versions, and flags the files it cannot read. It then checks the result against your due diligence checklist, so you see what is there and what is missing.

Instead of two weeks of manual transaction preparation became 30 minutes of AI processing. Your team reviews the exceptions instead of sorting every file.

Check your asset file against your own checklist before the data room opens. PropEase shows, item by item, which documents are there and which are missing, each linked to its source: permits, as-built plans, EPC/PEB certificates (energy passport in Luxembourg), asbestos inventory, electrical inspection (AREI/RGIE), post-intervention file (DIU/PID), leases and amendments.

A missing certificate found during preparation is a task on your list. Found by the buyer’s lawyers, it becomes a red flag or a price discussion.

PropEase detects versions of the same document when they are uploaded and groups them with their dates. The question “which one applies?” gets settled once, by the right person, instead of being asked again in Teams every week. Answers point to the document and page they come from, so you always know which version you are reading.

Questions asset managers ask us about PropEase

Every question on this page comes from real conversations with asset managers, investment teams and property managers. The answers show what PropEase, the AI document agent for real estate, changes for them.

Everyday document work

In more than 100 interviews with real estate teams, the same pattern came back: about four hours a week spent opening, identifying, naming and filing documents. That is roughly 200 hours a year, or 10% of a working year, and the load peaks around sales, audits and due diligence.

PropEase takes over the sorting, naming and first check. That time goes back to what creates value: assets, tenants and deals.

No. Your SharePoint stays your storage, and there is no migration project. PropEase works on the documents you already have and adds what SharePoint doesn’t do: it recognises what each file is, names it consistently, spots duplicates and gaps, and answers questions with the source.

SharePoint stores your files. PropEase makes them usable.

You decide. If not, bring your own hierarchy and naming convention. PropEase is configured on a few representative assets, then applies it consistently across your portfolio. No convention yet? We start from a standard real estate structure and adapt it with you.

The result: every file named the same way, whoever uploaded it.

Far less, once the knowledge sits in structured documents instead of in someone’s head.
A new colleague can ask “what does the indexation clause in this lease say?” on day one and get the answer, with a link to the page it comes from.

Handovers stop depending on one person’s memory.
Yes. PropEase processes Dutch, French, English and German documents in the same data room. A lease in Dutch, a permit in French and a technical report in German land in one consistent structure, classified and named the same way. Ask your question in plain language and get the answer with its source.

AI, accuracy and data

Generic AI helps you query content. PropEase makes your portfolio data reliable enough to query in the first place.
For a one-off question on a few files, a generic assistant works. But it doesn’t know your structure, your checklist or which version is current, so every deal starts from zero. And when files are duplicated or badly named, its answers are only as reliable as the mess underneath.

PropEase structures first, then answers from your own documents, with the source page. The work done on your first asset is reused on the next fifty.

It’s designed not to. Answers are built only from your own documents and point to the page they come from, so anyone can check them. When the documents don’t contain the answer, PropEase says so instead of guessing. Classifications below a confidence threshold go to a person for confirmation.

The AI does the sorting. Your team keeps the decisions that matter.

Your documents are hosted on Microsoft Azure in the EU. Every contract includes a GDPR data processing agreement (DPA) and an AI Act declaration, and we answer your IT team’s security questionnaire. For stricter sovereignty requirements, we can discuss a dedicated environment.

Don’t take our word for it. We start with an initial onboarding on your own documents, on one or two assets, with success criteria agreed upfront: how well documents land in your categories, and whether PropEase answers your team’s own questions correctly. There’s no IT project on your side: you give us a few representative assets, and most of the setup work is ours. You judge the result on your files, not on our demo.
